How will you make a difference?

As the Logistics Assistant, you will support the HQ office with administrative and logistical needs pertaining to meetings that take place at HQ and other administrative duties. 

This position reports directly to the Executive Assistant.

What will your typical day look like?

  • Check the calendars the night prior to know what meetings are taking place the following day.  Will also help determine the time you need to arrive to perform the necessary duties
  • Check the Admin Planning Calendar | Logistics to see what needs to be done the following morning in order to prepare for the day’s meetings
  • You will work closely with the Executive Assistant that coordinates all of the meetings at HQ.
  • Prepare and maintain coffee service, including warming coffee pots, brewing coffee, delivering coffee to designated locations, and retrieving equipment after use.
  • Perform routine cleaning and upkeep of coffee stations and related service areas.
  • Create, distribute, and retrieve meeting signage throughout the facility.
  • Stock snack carousels, mini refrigerators, and meeting room supplies, including flip charts, markers, and whiteboard materials.
  • Set up meeting rooms according to meeting requirements and assist with room readiness.
  • Support catering services by coordinating and placing food and beverage deliveries in meeting spaces.
  • Assist reception with mail processing and distribution activities.
  • Pick up and remove materials, equipment, and supplies before and after meetings and events.
  • Distribute important mail items to employees and departments in a timely manner.
  • Deliver FedEx packages and shipments to the designated first-floor processing area.
  • Monitor inventory levels of office and facility supplies and report replenishment needs.
  • Receive, organize, and stock incoming supplies while maintaining proper inventory levels.
  • Maintain a clean, organized, and orderly supply room.
  • Replenish copy paper and toner at all office copy machines.
  • Stock and maintain supplies in all kitchenette areas.
  • Refill and maintain napkin holders in the cafeteria and common areas.
  • Provide general administrative and operational support as needed.
  • Assist with special projects and perform other duties as assigned to support facility operations and employee services.

Our job titles may span more than one career level. The salary rate for this role is currently $20.00-$22.00 The actual salary offered to a candidate may be influenced by a variety of factors, such as: training, transferable skills, work experience, education, business needs, market demands and work location. The base pay range is subject to change and may be modified in the future.
