Become a Clerical Assistant 2 with the Pennsylvania State Police and help keep Troop D in New Castle, Pennsylvania operating efficiently. This job offers the chance to support station staff who serve the community every day. You will handle a variety of clerical tasks that keep information accurate and ensure smooth workflow. This is an excellent role for someone who enjoys steady, organized work in a mission-driven environment.


This position provides clerical support to the Station Commander and station personnel to help maintain smooth administrative operations. The work ensures that reports, files, schedules, and communications are handled accurately and in line with department procedures. As a Clerical Assistant 2, you will perform the following duties:

  • Document Preparation: Prepare and type correspondence and reports and proofread materials for accuracy and compliance with regulations
  • Report Processing: Transfer data from multiple types of reports into computerized formats and submit crime data while maintaining statistics
  • Supply Management: Order station supplies, handle purchasing card transactions, reconcile monthly records and route invoices as required
  • Personnel Forms: Prepare and update benefit forms for employees and forward completed documents for further processing
  • File Maintenance: Maintain and organize files, update station reference materials and distribute documents according to department rules
  • Schedule Input: Input approved schedules, create duty rosters and record call-offs and updates in the SAP Shift Planner

Work Schedule and Additional Information:
  • Full-time employment, 37.5 hours per week.
  • Work hours are 7:00am to 3:00pm, Monday-Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,831 (before taxes).

QUALIFICATIONS
Minimum Experience and Training Requirements:
  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Additional Requirements:
  • Two years or more of experience using Microsoft Word and Excel.
  • Two years or more of experience with preparing and formatting various correspondence, forms, and reports.
  • Two years or more of experience proofreading and editing various types of materials to ensure grammatical correctness and completeness.
  • Two years or more of experience maintaining databases, spreadsheets, and logs.
  • Two years or more of experience ordering supplies and services. 
  • You must be able to perform essential job functions.
