Purpose:
The Events and Activation Coordinator, MWRIF will oversee the activation of community events and provide internal event support to the Events Team. The Coordinator will work to create and maintain strong connection to the community through events. This position will be responsible for coordinating efforts with event staff (internal and 3rd party) and ability to travel to locations to set-up tables, displays, and onsite activation. The Events and Activation Coordinator will work to create new and innovative ways to reach the communities MWRIF serves and be responsible for working with internal staff and external activation team to maximize MWRIF's presence and awareness at events. The Events and Activation Coordinator will be responsible for supporting the Events team internally with organizational duties and administrative responsibilities for an effective and streamlined workflow. This position will work closely with the Marketing and Development Teams and report to the Sr. Events Manager and fall under the leadership of the Vice President of Development.
Responsibilities:
 

  • Creates ideas of displays and engagement at events as well as distribution of promotional items. Responsible for working with community partners on event-related tasks. Attends and manages onsite displays and MWRIF presence at any and all events initiated by MWRIF and partners. Responsible to set up/tear down all displays. Work with Foundation team to develop strategic plans to push traffic to MWRIF's Foundation and Development team.
  • Coordination of Third-Party events benefitting MWRIF and UPMC Magee-Women's Hospital. Also responsible for internal events hosted at either MWRIF or UPMC Magee-Women's Hospital. Coordinate, promote and develop events surrounding MWRIF programs and brand-awareness. Create and perform written and verbal communications to various audiences. Responsible for creating and implementing additional initiatives to promote the mission of MWRIF. Ensures all events are properly coordinated, all materials have been received, and proper information has been provided to the staff prior to event dates.
  • Organizes reports, invoices, contracts, and other financial files for easy access. Facilitates scheduling of team meetings and assists with note-taking and meeting recap development. File Management and organization for Events group. Assist in implementation of project management platform. Works as assigned by management to create and administer presentations.
  • Takes initiative on projects and works as assigned by management. Maintains Marketing materials needed for each event and is responsible for tracking and maintaining inventory. Will be required to spend significant time walking and standing at events. Must be able to lift up to 50 pounds.
  • *Performs in accordance with system-wide competencies/behaviors.*Performs other duties as assigned.

Bachelor's Degree strongly preferred. In lieu of Bachelor's degree, 3-5 years of relevant experience required. Minimum of 3-5 years of profession experience in at least one of the following areas preferred; non-profit event management, event management, fundraising, sales, or hospitality experience. Ability to manage a third-party activation team and make independent decisions.Superior time management skills. Ability to handle multiple tasks and prioritize goals. Excellent verbal and written communication skills. Ability to work evenings and weekends, based on business needs. Valid PA Driver’s license and reliable transportation. Demonstrate a position and professional attitude at all times. High level knowledge of the research areas of MWRIF. Knowledge of Microsoft Office, particularly Excel
