Position Summary

Under the supervision and coordination of the Director, Deputy Director, and Business Operations Manager, this position is responsible for administrative and managerial duties associated with the operation of a regional office, including supervision in the areas of customer service, personnel, office equipment/machines/supplies, and overseeing events within the parks. This position will work collaboratively with the Regional Recreation Supervisor and the Regional Park Maintenance Supervisor. The incumbent will recruit, hire, and train seasonal office staff as needed. The incumbent will communicate with maintenance staff when problems are reported in rental facilities and serve as the point of contact for maintenance, ensuring facilities are properly red-lined when necessary for maintenance work. This position will also assist the general public in person, by phone, and by email daily, handling regular park-related questions and assisting with facility or activity bookings and registrations. This position is responsible for assuring that the regional office is in compliance with all department policies and procedures.  

Duties

  • Oversees the work of all office personnel assigned to that office
  • Schedules personnel to assure the uninterrupted and smooth coverage of all necessary office operations; schedules meetings with event contacts and vendors.  
  • Oversees all events, contracts, and permits within North Park. Ensures bookings are completed properly to eliminate conflicts
  • Trains office personnel and seasonal employees in all aspects of office operation to assure back-up for all functions
  • Acts as liaison between the office employees and the Downtown Administrative Office; coordinates operational issues and problems with the Parks Maintenance Staff and the Downtown Administrative Office.
  • Handles customer complaints and takes necessary steps for remediation of issues. Follows-up on resolution of any problems.
  • Organizes bank receipts for the offices and recreational facilities and sends to parks fiscal team.
  • Follows Allegheny County Parks cash handling policies and procedures; deposits permit revenue in the bank.
  • Pulls reports and information as needed to review; sends rental reports to maintenance and the County Police.
  • Completes payroll paperwork and submits to parks payroll office.
  • Performs other related duties as required or requested

Minimum Requirements

  • High school diploma or its equivalent.
  • Three (3) years of experience in a responsible clerical or customer service work environment.
  • One (1) year of people management experience.
  • An equivalent combination of education and experience may be substituted. 
  • Candidates who have parks or event planning experience is preferred.

Additionally, it is the policy of Allegheny County that to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status.

Residency

Allegheny County within 1 year.
