Position Summary
Reporting to the Business Office Manager, the receptionist serves as the face of the organization, combining administrative duties with customer service responsibilities. The role requires strong communication, organizational skills, and a professional demeanor to ensure efficient front-desk operations and positive experiences for all visitors and clients. This position may be required to work beyond normal working hours and on weekends and holidays as necessary.
Duties
- Promotes exemplary customer service within the organization by greeting visitors and callers in a courteous and professional manner.
- Answers, screens, and forwards phone calls to the appropriate department or personnel.
- Handles inquiries from clients, visitors, and vendors by providing accurate information and assistance.
- Schedules appointments and meetings, manages calendars, and coordinates front-desk activities.
- Provides administrative support, including filing, data entry, document preparation, and managing correspondence.
- Organizes the reception area to ensure cleanliness and a professional appearance.
- Monitors office supplies and places orders when needed.
- Provides security and access control to ensure all visitor protocols are followed.
- Performs other related duties as assigned or requested.
Knowledge
- General office practices and procedures.
- Protected Health Information, including HIPAA.
Skills
- Microsoft Office Suite.

- Communicate effectively, both orally and in writing.
- Read, write, speak, and understand the English language.
- Maintain confidentiality of protected health information, including verbal, written, and electronic communications.
- Make independent decisions when circumstances warrant such action.
- Deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the public.
- Move intermittently throughout the workday
- Work beyond normal working hours and on weekends and holidays when necessary.
- Assist in the evacuation of residents during emergency situations.
- Maintain composure in stressful situations.
- Demonstrate organizational skills and the ability to multitask.
Minimum Requirements
- A high school diploma or its equivalent.
- One (1) year of administrative office and customer service experience.
- An equivalent combination of education and experience may be substituted.
It is the policy of Allegheny County that in order to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status, and drug/medical examinations as required for the position. The pre-employment drug screening must be completed within 48 hours of acceptance of the conditional offer of employment.
Residency
Allegheny County within 1 year.
