The Office of the Lieutenant Governor, Board of Pardons is looking for an Administrative Assistant 1 who excels at detail oriented work and clear, effective communication. This role provides administrative and office support for Pennsylvania’s clemency process. Your efforts will help ensure that Board members have access to a complete and accurate picture of each person, case, and circumstance to inform their recommendations to the Governor. This position provides administrative support to help ensure that applications for clemency are reviewed and processed accurately and effectively. As an Administrative Assistant 1, you will perform the following duties: 

  • Application Intake: Carefully review clemency applications to ensure accuracy; communicate with applicants or their representatives when additional information is required and to explain policies, procedures, and possible outcomes
  • Record Utilization: Enter, maintain, and track data in the Board’s records system; access confidential public safety and criminal justice records to inform analysis of applications
  • Case Preparations: Review confidential investigative reports, court documents, and criminal history records to identify and confirm the presence of all details required for merit review by the Board; help write and proofread reports
  • Official Correspondence: Assist with the entry of official decisions, generating and mailing notifications, and completing memos to all interested parties
  • Stakeholder Communication: Work with applicants, their representatives, involved agencies, and others to gather information necessary to file applications, prepare reports, or fulfil other requirements
  • Workflow Support: Organize assignments to manage multiple duties, meet key deadlines, and adapt to changing priorities in a highly visible environment

Work Schedule and Additional Information: 

  • Full-time employment, 37.5 hours per week 
  • Work hours are 8:30 AM to 4:30 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: In some cases, the starting salary may be non-negotiable.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training. 

Additional Requirements:

  • You must have one or more years of experience in each of the following areas: 
    • Reviewing processes and procedures within an office setting.
    • Entering and tracking data within a website/database.
    • The maintenance and retention of records.
    • Reviewing documentation received from outside organization to ensure accuracy.
    • Community outreach.
  • You must be able to perform essential job functions.

Legal Requirements: 

  • You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
