Fair Program Assistant (Clerical Assistant 3)

This position supports the administration of statewide fair-related programs and assists with communication, coordination, and tracking tasks. You will help ensure that reimbursements, grants, and program activities are completed accurately and on time. As a Clerical Assistant 3, you will perform the following duties:

  • Program Support: Assist with managing reimbursements, grants, and other activities for multiple fair-related programs
  • Application Tracking: Review funding applications and confirm compliance with eligibility rules and guidelines
  • Communication Tasks: Correspond with fair boards and agricultural groups to collect materials and share information
  • Database Maintenance: Monitor spending, update grant tracking records, and prepare invoices and payment details
  • Organizational Liaison: Serve as a contact for groups such as FFA, 4-H, and statewide agricultural organizations
  • Event Assistance: Support planning, preparation, and coordination for meetings, award programs, and statewide activities

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Some travel will be required
  • Telework: You may have the opportunity to work from home (telework) part-time, up to 5 days per pay period. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Additional Requirements:

  • You must possess a valid driver's license.
  • You must be familiar with the operations of agricultural fairs.
  • You must have proficiency in developing and tracking budgets.
  • You must be comfortable representing the department and presenting material to large industry groups in person and online.
  • You must have knowledge related to grants and program management.
  • You must be proficient in Microsoft Word, Microsoft Excel and Microsoft Teams.
  • You must be highly organized.
  • You must be able to perform essential job functions.

Preferred Qualifications (not required):

  • Direct involvement with one of Pennsylvania's 107 county agriculture fairs.
  • Past participation in FFA or 4-H.
  • Comfortable around livestock.

Legal Requirements: 

  • You must pass a background investigation.
  • This position falls under the provisions of the Child Protective Services Law.
    • Under the Law, a conditional offer of employment will require submission and approval of satisfactory criminal history reports including, but not limited to, PA State Police clearance, PA Child Abuse history clearance, and FBI Fingerprint clearance.
