This position provides clerical support to the purchasing office and storeroom functions, helping maintain accurate orders, records, and tracking systems for the Southeastern Veterans Center. As a Clerical Assistant 2, you will perform the following duties:
- Document Preparation: Type purchase requests, letters, memorandums, and forms and maintain records for pending and completed orders
- Cart Monitoring: Assist requisitioners with entering shopping carts and track their progress through the approval process
- Invoice Coordination: Contact the accounting office for invoice status updates and manage related communications
- Order Adjustments: Request adjustments or liquidations to purchase orders and forward required information to accounting
- Contract Tracking: Maintain service agreement spreadsheets and notify staff when contracts require renewal
- Vendor Communication: Obtain required paperwork from vendors and research pricing information for goods and services

Work Schedule and Additional Information:
- Full-time employment, 37.5 hours per week.
- Work hours are 8:00am to 4:00pm, Monday-Friday, with a 30-minute lunch.
- Evenings and weekends as needed.
- Telework: You will not have the option to telework in this position.
- Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,831 (before taxes).

Minimum Experience and Training Requirements:
- Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- Graduation from high school; or
- An equivalent combination of experience and training.
Additional Requirements:
- You must be able to perform essential job functions.
Preferred Qualifications (not required):
- Previous experience working in a long-term care or large healthcare facility.
- Previous experience working in a purchasing clerical position.
- Previous experience in the following tasks: typing, data entry, filing, shredding, answering telephones, creating work orders, updating and maintaining policy and procedure manuals, proofreading, and filing.
- Previous experience working in SAP or SRM entering shopping carts and requisitions.
- Previous experience with processing goods receipts for credit card orders.
- Previous experience obtaining required paperwork for contracts from vendors to include credentials, licensing information, and background check verifications.
- Previous experience in researching and contacting vendors for pricing information regarding various goods and services.
- Previous experience working in Microsoft Excel.
Legal Requirements:
- A conditional offer of employment will require a medical examination.
