The Department of Corrections, Field Human Resource Office 1 is hiring a Clerical Assistant 3 to join our team at the State Correctional Institutions (SCI) at Albion. Your work will help ensure timekeeping, payroll, and scheduling functions are accurate and reliable. Step into a role where your careful attention makes a real impact! 


This position serves as a centralized timekeeper and responsible is for processing time and payroll actions for multiple bargaining units, with a focus on corrections officers and forensic security employees, as well as supporting other HR office functions. Work relies on a thorough knowledge of all pay rules, collective bargaining agreements, and time-related policies. As a Clerical Assistant 3, you will perform the following duties: 

  • Timekeeping Functions: Enter time and payroll data, including schedule substitutions and overtime, for corrections officers and all other employees within the institution
  • Error Resolution: Investigate pay discrepancies, verify, and correct time entries based on established rules
  • Leave Tracking: Monitor holidays, absences, and specialized types of leave to ensure proper documentation
  • Record Updates: Adjust and maintain employee records based on audit findings and supervisor direction
  • Clerical Support: File, type, and proofread documents; update spreadsheets, databases, and tracking systems; generate reports; and answer general inquiries from phone calls and emails

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, up to two days per week, after successful completion of the six-month probationary period. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Albion. The ability to telework is subject to change at any time. Additional details may be provided during the interview.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or 
  • One year of moderately complex clerical experience; or 
  • An equivalent combination of experience and training. 

Additional Requirements: 

  • You must be able to perform essential job functions.

Legal Requirements: 

  • You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
