Position Summary

Reporting to a Supervisor, the Clerk 5 (Marriage License/Passport) performs clerical duties in an office setting. 

Duties

  • Provides intense customer service.
  • Assists customers with filling out applications, if needed.
  • Reviews the marriage license application with customers.
  • Administers oaths for marriage license and passports.
  • Reviews information and makes corrections, as needed.
  • Enters officiant returns into system and barcodes for scanning.
  • Collects fees on behalf of Allegheny County and Passport Services.
  • Prepares and mails out marriage licenses.
  • Reviews and accepts passport applications and takes passport photographs.
  • Prepares passport transmittal sheets, notary verification letters, and other various data entries.
  • Prepares and processes divorce decrees.
  • Balances cashier sessions and submits receipts, cash, and checks to the cashier.
  • Performs other related duties as required and requested.

  • Basic computer proficiency including Windows-based programs.

  • Accurately and promptly enter data into a personal computer.
  • Proofread and verify data.
  • Work under general supervision; follow oral and written instruction.
  • Communicate effectively, both orally and in writing.
  • Maintain accurate records.
  • Learn to use new computer software as required.
  • Interact well with co-workers, supervisors, and the general public.
  • Work independently.
  • Work evening and weekend hours.
  • Lift a minimum of 25 pounds.

Minimum Requirements

  • High school diploma or its equivalent and one (1) year of office experience, or
  • An equivalent combination of education and experience is acceptable.

Applicants will be required to take a typing test for speed and accuracy and score a minimum of 30 words per minute. Applicants will also be required to take and pass a test administered by the U.S. Passport Services in order to be certified as a Passport Agent within 45 calendar days after appointment. Applicants will be required to work seasonally in the evening and on Saturdays.

It is the policy of Allegheny County that in order to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status.

Residency

Allegheny County within 1 year.
