Clerical Assistant 3 for the Pennsylvania State Police (PSP) is a fast-moving role where your focus and drive help keep essential legal processes on track. This position focuses on reviewing and processing legal documents that shape criminal history records for the Commonwealth. It plays an important part in making sure information is accurate and follows state law. As a Clerical Assistant 3, you will perform the following duties:

  • Document Review: Examine court orders and legal materials for accuracy and completeness
  • Record Verification: Compare criminal history information to court instructions to locate and resolve differences
  • Legal Processing: Carry out actions required for expungements, limited access orders, and pardons
  • Communication Support: Contact courts, attorneys, and law enforcement partners to confirm information
  • Administrative Tasks: Handle mail, phone calls, and other office needs to support daily operations
  • Training Assistance: Help orient new staff members at the direction of the supervisor

Work Schedule and Additional Information:

  • Full-time employment, 37.5 hours per week
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment with the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $40,685.00 (before taxes).

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Additional Requirements:

  • You must have at least two years of professional experience with Microsoft Office software.
  • You must have at least two years of experience working with legal documents.
  • You must have the ability to obtain and maintain an active Commonwealth Law Enforcement Assistance Network (CLEAN) certification issued by the Pennsylvania State Police within the probationary period and maintain the same for the duration of employment in this job.
  • You must be willing to work onsite full-time. Teleworking is not an option as part of this position's work schedule.
  • You must be able to perform essential job functions.

Legal Requirements: 

  • You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
  • You must pass criminal history and background investigations if you do not have a current Pennsylvania State Police background on file.
