The Faculty Affairs Administrative Manager oversees faculty personnel operations for the Department of Medicine, which is housed within the School of Medicine, serving as the primary point of contact for faculty recruitment, hiring, onboarding, and separations. This position administers end-to-end faculty employment processes across multiple enterprise systems, including Talent Center, PittWorx, DocuSign, and Perceptive Content, while ensuring accurate and timely completion of University appointment paperwork. 

Manages and reviews all faculty action requests. Reviews and interprets University bylaws, policies, and guidelines and provides operational support to employees. Advises on procedures and action approvals. Facilitates high-visibility development initiatives.

Faculty Recruitment and Hiring 

Manages the full faculty recruitment and hiring cycle through the University enterprise system (Talent Center). This includes faculty onboarding processes and University appointment paperwork.

Terminations, Retirements, and Emeritus Nominations 

Processes faculty separations through University enterprise system (PittWorx), including both voluntary and involuntary terminations. 

Administrative and Operational Support 

Performs a range of administrative duties in support of faculty personnel operations. This includes maintaining electronic faculty personnel records (Perceptive Content); Providing payroll backup support for new hires; Utilizing tracking system for all new hires and termination actions; Assisting with managing shared inbox and triaging incoming requests.

-Primarily sedentary work performed on a computer for extended periods of time.
-Frequent use of a keyboard, mouse, and telephone/headset.
-Regular participation in virtual meetings via video conferencing platforms, as well as occasional in person meetings.
-Occasional standing, walking, or movement within the office environment.
-Ability to view a computer screen for prolonged periods.
-Minimal lifting required; may occasionally lift or carry items such as files, documents, or office supplies, not to exceed 10 pounds.
