In this Fiscal Technician position with the Department of Aging, you will support purchasing and contracting activities that keep these essential programs running smoothly. This position plays a key role in managing purchasing and contracting tasks that support Department of Aging operations. Work helps ensure that services, supplies, and agreements are handled efficiently, effectively, and according to policy. As a Fiscal Technician, you will perform the following duties: 

  • Purchasing Support: Review requests to purchase materials and services; identify and follow proper procedures; and prepare purchase orders, public notices, and other documentation as needed
  • Vendor Communication: Make payments to vendors; maintain contact to complete required purchases, resolve discrepancies, and amend contracts as needed
  • Invoice Review: Examine invoices for accuracy, prepare them for payment approval, and collaborate with internal and external teams to resolve issues
  • Record Management: Organize and maintain files and logs of procurement documents, correspondences, invoices, purchases, receipts, and related documentation 
  • Contract Assistance: Prepare and lead requests for proposal and best value documents; help develop technical requirements and award criteria; establish and monitor timelines; participate in meetings and negotiations

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 7:30 AM to 4:00 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: In some cases, the starting salary may be non-negotiable.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Fiscal Assistant (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or 
  • Three years of work involving the maintenance of fiscal or financial records, including one year of responsible work which involves the application of accounting or fiscal principles and practices; and graduation from high school; or 
  • One year of experience in maintaining and reviewing fiscal records and an Associate degree in accounting or business administration; or 
  • Any equivalent combination of experience and training.
