The Department of Surgery is a major academic surgical department supporting foundational educational activities for medical students, residents, and fellows in conjunction with its extensive research and clinical portfolio. The Bridges Phase Medical Student Coordinator will provide critical support for the educational mission of the department, helping to integrate medical student activities into the function of the department and serving as a key liaison between students and teaching faculty and residents, particularly as those students begin to transition to residency. A degree or formal training in education, educational sciences, higher education, health professions education, or a related discipline is preferred. Prior administrative or program coordination experience is also preferred, particularly within higher education, academic medicine, healthcare, or another complex educational environment.
Oversees all aspects of planning, design, and execution of assigned small, routine projects and coordinates with project stakeholders to define project scope, goals, and deliverables. Assists in timeline development, ensures adherence to timeframes, and adjusts project deliverables to avoid issues. Performs budgetary functions and administrative tasks. Assists with external consultant and vendor selection, negotiation, and management.
Maintenance of the MS4 Elentra Sites including the Elentra site that contains information about each elective including faculty contact information, schedule, and call room. The site will also contain the residency application timeline, Power Points related to applying to surgical residencies, the AI Director’s message on how to succeed on Acting Internships, and other general messages pertinent to M4 students on surgical rotations. Administration of extramural electives (Visiting students). VSLO file preparation and review. Coordination of visiting student approvals, offers, wait lists, and rejections. Site assignments, coordination efforts, and assessments for visiting students. Onboarding of visiting students from arrival through departure during elective (housing coordination, meet and greets, international team meetings, and similar efforts). Navigating General Surgery Application Process for MS4 including assisting with ERAS application process and timeline management and sending faculty reminders for letters of recommendation for general surgery-bound applicants. Organization and scheduling of mock interview sessions for prospective surgical applicants. Coordinate SOAP with unmatched students and with Office of Student Affairs, including personal statements, revised letters of recommendation, and applications to preliminary surgical residency spots. Develop and maintain relationships seeking to work longitudinally on Surgical Education Research projects. Develop novel curricula for MS4 general surgery students, including but not limited to elements for M4 Acting Internships, Surgery Boot Camp, Pre-M4 Preparatory Course.
Must be able to sit and perform desk-based administrative duties for extended periods of time. Will be required to assist in the transport of materials via wheeled cart to and from Scaife Hall for suture sessions and other didactics, not to exceed 30 lbs.
