Job Purpose

Pittsburgh Area Community Schools (PACS) is expanding its volunteer program to deepen community relationships and provide meaningful support to students, schools, and PACS programs. The Volunteer & Community Coordinator coordinates volunteer recruitment, onboarding, placement, communication, recognition, and recordkeeping. The position serves as a primary contact for volunteers and community partners and supports PACS visibility by gathering approved stories and content. This role supports social media content development but does not own PACS marketing strategy, brand strategy, or final publishing approval.

Primary Responsibilities

Volunteer Program Coordination

  • Coordinate volunteer recruitment, screening, onboarding, orientation, placement, scheduling, and recognition activities.
  • Serve as the primary point of contact for volunteer inquiries and applications.
  • Match volunteers with appropriate opportunities in collaboration with school and program staff.
  • Maintain current volunteer opportunity descriptions, communications, schedules, and required documentation.
  • Support volunteer appreciation, retention, and ongoing engagement.
  • Ensure clearances, waivers, consent forms, and other required records are collected and maintained according to PACS procedures.
  • Identify and elevate volunteer concerns, placement challenges, or safety issues to the appropriate supervisor.

Volunteer Records and Reporting

  • Maintain accurate volunteer records in Neon One and other PACS systems as required.
  • Track volunteer participation, hours, activities, clearances, and outcomes.
  • Prepare routine volunteer engagement reports and collect impact stories for organizational reporting.
  • Follow PACS standards for data privacy, confidentiality, record retention, and authorized system access.

Community Engagement 

  • Build and maintain working relationships with schools, neighborhood groups, nonprofits, civic groups, faith-based organizations, and other community partners.
  • Work with PACS program and school teams to identify and coordinate appropriate volunteer opportunities.
  • Coordinate PACS participation in approved community events, volunteer fairs, pop-ups, and outreach activities.
  • Generate opportunities for PACS leaders to present to community groups and prospective volunteer partners.
  • Represent PACS professionally and refer fundraising, sponsorship, corporate-giving, and major-donor opportunities to the Director of Development.

Communications and Social Media Support

  • Gather approved photographs, videos, quotes, testimonials, and stories from volunteer and community activities.
  • Draft suggested captions, volunteer highlights, and short community-engagement updates.
  • Confirm that required permissions and releases are received and stored before content is used.
  • Submit content to the Director of Development and designated marketing partners for review, approval, and publication.
  • Follow PACS brand, confidentiality, student privacy, accessibility, and communications standards.

Internal Collaboration

  • Collaborate with the Director of Development to align volunteer engagement with community visibility and relationship-building priorities.
  • Partner with the Development Operations & Grants Manager on volunteer data, outcomes, stories, and grant-reporting needs.
  • Coordinate with program and operations staff regarding volunteer needs, schedules, supplies, access, and logistics.
  • Provide volunteer and community information for donor communications, grant reports, presentations, and board updates.

Knowledge, Skills and Abilities

  • Strong interpersonal, relationship-building, organizational, and time-management skills.
  • Effective written and verbal communication, including comfort facilitating volunteer orientations or small-group training.
  • Ability to coordinate multiple assignments, events, partners, and deadlines.
  • Cultural competence and ability to work effectively with diverse communities, school staff, volunteers, and families.
  • Sound judgment when working around students and handling confidential information.
  • Ability to work independently and collaboratively across departments.
  • Comfort using Microsoft 365, a CRM, or a volunteer-management system to maintain records and produce routine reports.
  • Commitment to PACS mission and trauma-informed organizational practices.

Experience and Education Requirements

  • Two or more years of experience in volunteer coordination, and community engagement, or a related area preferred.
  • Experience recruiting, onboarding, scheduling, supporting, or recognizing volunteers preferred.
  • Experience in a youth-serving, school-based, or community-focused environment preferred.
  • Bachelor degree in a related field preferred but not required; equivalent professional and lived experience will be considered.

Working Conditions and Physical Demands

  • Full-time, hybrid position with work at the PACS administrative office, school sites, community locations, and remotely as approved.
  • Regular local travel throughout the Pittsburgh region and occasional evening or weekend work.
  • Must obtain and maintain all clearances required by PACS and Pennsylvania law.
  • Must possess a valid Pennsylvania driver license and reliable transportation.
  • Must be able to lift up to 30 pounds occasionally and perform physical activities associated with events and volunteer projects.
