The Department of Surgery is a major academic surgical department supporting foundational educational activities for medical students, residents, and fellows in conjunction with its extensive research and clinical portfolio. The Preclinical and Clerkship Medical Student Coordinator will provide critical support for the educational mission of the department, helping to integrate medical student activities into the function of the department and serving as a key liaison between students and teaching faculty and residents.
Oversees all aspects of planning, design, and execution of assigned small, routine projects and coordinates with project stakeholders to define project scope, goals, and deliverables. Assists in timeline development, ensures adherence to timeframes, and adjusts project deliverables to avoid issues. Performs budgetary functions and administrative tasks. Assists with external consultant and vendor selection, negotiation, and management.
Responsibilities will include maintenance of the MS3 Core Surgical Clerkship Elentra Site including Launch Week, Wednesday morning Didactic sessions, Wrap-Up week activities, and coordination tools for medical student activities while on clerkship. Collecting and collating student preferences for specific site assignments. Ensuring appropriate onboarding of students at their individual rotation sites, including scrub machine access, badge access, parking access (if applicable), locker access, and call room access (if applicable). Following and enforcing guidelines for placement of students (ensuring that faculty on rotations have the capacity to place students at rotation sites). Fielding student requests, concerns, and questions regarding the surgery clerkship and directing them to appropriate answers or faculty. Managing grade evaluations and ensuring timely reporting of student grades. Working collaboratively with other clerkship coordinators to provide cross coverage in times of need and standardize practices across the school of medicine. Proctoring of the NBME subject exam (once per rotation). Attending all meetings for clerkship faculty and participating in continuous quality improvement for the clerkship. Administration of Foundations (Preclinical) Medical Student Activities in Department of Surgery. Coordinating with Interest group student leaders and faculty. Arranging space for meeting and coordination of supplies, guests, and educational opportunities. Coordinate, along with Flex week course directors and primary student leaders, room assignments, faculty, and activities for flex week offerings for students interested in participating in general surgery flex week experiences. Work alongside Clerkship Director and Clerkship faculty team to develop, test, and collect data regarding new curricular innovations and implementation for the MS3 Core Clerkship, Flex Week experiences for MS1/MS2, and other activities.
Must be able to sit and stand to perform desk-based administrative duties for extended periods of time. Will be required to assist in the transport of materials via wheel cart to and from Scaife Hall for suture sessions and other didactics, not to exceed 30 lbs.
