Purpose:
The Capacity Management Analyst is responsible for managing template-related tickets and Cadence build work in Epic to support accurate, efficient, and standards-based scheduling across specialties, departments, and operational areas. This role partners closely with operations, access, leadership, and information systems teams to build, maintain, modify, and optimize provider and ancillary templates, ensuring alignment with specialty and system-wide standards. The analyst proactively identifies opportunities to improve template design, slot utilization, patient access, and scheduling workflows; provides consultative recommendations based on operational needs and best practices; and maintains template hygiene and integrity through ongoing analysis, validation, quality review, testing, documentation, and issue resolution.
Responsibilities:
- Manage, prioritize, and resolve tickets related to provider and ancillary templates, scheduling configuration, and Cadence build in Epic, ensuring timely, accurate, and standards based execution.
- Build, maintain, modify, and validate scheduling templates, visit types, subgroups, block structures, release dates, and related Cadence configuration in alignment with specialty and system-wide standards.
- Partner with operations, access, leadership, and information systems teams to gather requirements, assess impacts, and implement template changes that support patient access, provider capacity, clinic workflow, and operational goals.
- Proactively identify opportunities to improve template design, scheduling workflows, slot utilization, and operational efficiency, and provide recommendations to operational partners based on data, best practices, and system capabilities.
- Maintain template hygiene and integrity through ongoing audits, quality assurance, template testing, scheduling validation, and review of template structure, visit types, cancel reasons, release practices, and related master file changes.
- Analyze the operational and financial impact of requested changes, including effects on appointment availability, provider productivity, staffing, revenue, and scheduling workflows, and escalate concerns when requests do not align with established standards or build principles.
- Serve as a consultative resource for template strategy, scheduling standards, and access optimization, including education, communication, and follow-up with department stakeholders and scheduling partners.
- Support implementation of enhancements, upgrades, onboarding, offboarding, and new functionality by participating in design discussions, workflow validation, user acceptance testing, issue resolution, and post-implementation follow-up.
- Monitor utilization, capacity, and scheduling trends through reporting and analysis, and communicate barriers, opportunities, and recommendations to leadership and operational teams.
- Bachelor’s Degree and one year of relevant business experience.
- OR High School Diploma with Two Years of relevant experience required.
- Strong computer skills with expert knowledge in Word, Excel and EpicCare/eRecord preferred.
